    ZOOM TIPS that Make a Difference – A BIG Difference! Transcript Fred Miller, NO SWEAT Public Speaking. This video’s about ZOOM. What an amazing application! We can meet with anyone virtually. For a presenter, our audiences can be all over the world.  But it does present some challenges, doesn’t it? Let me tell you my story. When Covid broke out,  I was in another country and the world I came back to is not the world I left. I didn’t do anything  for a few days. Then I got on Zoom meetings. Oh my gosh! I’ve looked up more noses than an ear, nose, and throat doctor. I’ve seen things in  people’s backgrounds, inappropriate doesn’t begin to tell a story. I’ve seen people eating, drinking, playing games, not even on the meeting. You’ve been to those meetings, right?  You recognize some of those people! And then the leader of the meeting would get on and say, “Can you see my screen? What are you looking at?” Well, I want to give you three things to do for yourself if you’re attending a Zoom Meeting. Number One: You look good, right? Well, have a good light on you so the others can see you. A nice ring light. Number Two: Good microphone. People will watch bad video – they won’t listen to bad audio. And Number Three: The camera on your computer may be old. Get a nice webcam. Here’s what I’m doing now, you may want to do the same. I’m using my phone as my webcam, and there’s an app called Camo, which allows you  to do amazing things. You probably already have a great camera on your phone, use it. Before you start any meeting: Update your ZOOM. They’re always doing updates. Turn off VPNs and anything else that might interfere with the system, that could  allow you to crash. The speakers on your computer, or if you have an external one, could  provide feedback through your microphone. Maybe get a headset. Maybe get some EarPods  that have a microphone built into them. Adjust the camera so it’s not looking up your nose or at the ring lights. Look straight at that camera. Check all these things out before the meeting starts. Test your audio Test your  video. If you’re the presenter, after people have introduced themselves, have them mute their audio and blank their video. Those are all distractions. We cannot multitask! Because I’m looking at Joe or I’m looking at Mary, and I don’t know who that  is over there, I’m not paying attention to you, the speaker. Have them do that. If you want a better presentation, get a Green Screen. Have good lighting on it. If you’re going to have a artificial background, don’t have it clear like this. Have it blurred. If you watch professional broadcasts, the presenter is always crystal clear. The  background is blurred so it doesn’t distract. Don’t wear a yellow shirt like this guy did in a video. You’ll look like the invisible man. Get this application. It is incredible! mmhm Studio. I want to demonstrate to you how cool this software is: Look where I am. “Joey, practice, practice, practice! I’ll be right back.” I don’t know. Now, this is a great background. I speak about  public speaking and I’ve got it blurred. It’s a microphone, but it’s very subtle. Now, oh! This  is embarrassing. This is my garage. I’m sorry. I should have cleaned it up. Now I really like  this one. Black and white. I’ve got black shirt on, but I’m in color. Good contrast. And what’s nice about this is that when giving presentations, especially over Zoom. We’ve got the attention span of a gnat, so anything that can break it up to get people’s attention back helps. Something like this does. This is a little dark. Now if I’m talking  about elevator speeches, this is perfect. NO SWEAT Elevator Speech! Whoa now,! Some people have a background like this. Totally distracting! Get dizzy looking at it, right? Well, there’s another messy garage. I’m  sorry. I could be talking about the goals in your life. A background can enhance your presentation. Here we are back at the White House. Oh, look,  they put me on one of those old television sets. Whoa, there’s a storm coming. I love something  like this. And here I am up in heaven. I’m sorry, I don’t see any of your names here. Whoa! Looks like I’m amongst friends. And here’s just a really nice plain background. Got a little highlight to myself. This is the one I use a lot of times, you don’t want a background to be distracting. This is perfect! Those are some really cool things that we can do with the background with the right software. There are also things I can do with the presenter. For instance, if I had a slide up here over my shoulder and I was in the way, I could get out of the way by going into the corner, coming back or, just disappearing and come back this way. Here are a few other things I could do. I could go in the Witness Protection  Program. That always gets people’s attention. I could be really, really weird. That would get the audience’s attention off whatever they were thinking about, wouldn’t it? Whoa! And say, I want to get off a call. I can do this. “I’m sorry. I’m sorry. I’ve got some interference with my connection.” I’ll say, “Whoa!” I even went  to a different room. And another one. Oh, this thing is messing me all up. Sorry, everyone. See  you tomorrow’. ‘It’s raining. I’ve got to go inside. See y’all later’. I really like this one! I’m in an old film. I’ve started presentations with this. It draws in the audience. Now, I know you’re  jealous and you want to get software like this, too. I have no connection with this company at all. I just love what they have. So I’ve shown you a few ways to enhance your presentation with the  right software. You want to have a good camera, good lighting, and a green screen. Do those things and  your presentations will be absolutely, positively – NO SWEAT! Okay, consider this. Consider doing some pre-recording so you can show a video because you’re not going to show your first video. You’re going to take it over and over and over again. That can be part of your presentation. That can work really, really well. A lot of  hard work, but then it’s as they say, “In the can.” All right! I’ve got a Zoom Checklist for everyone.   • VOCAL CUES Are Important Because . . .

    They can help listeners understand the meaning of words and the intentions behind them. Vocal cues are aspects of speech that convey meaning or convey information about a speaker’s attitudes, emotions, or intentions. These can include things like tone of voice, pronunciation, enunciation, pausing, volume, pitch, and pace of speaking. They can be very important in communication, as they can help listeners understand the meaning of words and the intentions behind them. A speaker’s tone of voice may convey sarcasm, anger, or excitement, even if the words themselves do not convey this information. Additionally, vocal cues can help speakers convey emotions and attitudes, and can be used to influence or persuade listeners. Some examples of vocal cues include: Tone of voice: The tone of voice refers to the overall quality of a speaker’s voice, which can convey emotions, attitudes, and intentions. For example, a speaker may use a flat, monotone voice to convey boredom or disinterest, or may use a high-pitched, excited voice to convey enthusiasm. Pronunciation: The extent to which we articulate words clearly and distinctly. Example: It’s “Pronunciation” not “Pronounciation.” Enunciation: It’s the way we say words and it’s based upon our upbringing and the part of the country we live in. It might be a Southern accent or maybe a Boston accent. Pausing: It’s being silent and it’s tough for many speakers. I’m the speaker! Shouldn’t I be speaking? But pausing can be super, super powerful! Volume: The volume of a speaker’s voice refers to the loudness or softness of their speech. Speakers may use volume to convey emotion or to emphasize certain words or points. For example, a speaker may raise their voice to convey anger or excitement, or may speak more quietly to convey intimacy or confidentiality. Pitch: The pitch of a speaker’s voice refers to the highness or lowness of their voice. Speakers may use pitch to convey emotion or to emphasize certain words or points. For example, a speaker may raise the pitch of their voice to convey excitement or enthusiasm, or may lower the pitch of their voice to convey seriousness or authority. Pace: The pace of a speaker’s voice refers to the speed at which they speak. Speakers may use a faster pace to convey excitement or enthusiasm, or may use a slower pace to convey seriousness or contemplation. Often, because of nerves, many speakers speak too quickly. Vocal cues plus facial expressions, gestures and changes in posture can combine to make specific points to an audience. Overall, vocal cues are an important aspect of communication and can help convey meaning, emotions, and intentions in speech.   • Everyone is NOT Going to Like Your Presentation!

    No matter how good your material and how well you delivered it, there will be some in the audience who do not like your talk will give your it a failing grade. IF . . . You researched your topic well and know it enough to have “Confidence in your Competence.” You practiced multiple times. (My Ultimate Practice Tip is HERE.) IF you’ve done those two things: GET OVER IT because . . . “All you can do is all you can do but all you can do is enough.” A.L. Williams. Use This Self-Talk when negative comments come your way: “I’VE GOT THIS!” However, and this is important, listen to and read those negative comments. We can always improve our presentations. If someone has taken time to comment, their remarks should be reviewed. It’s little things that can make a BIG difference, and this is an opportunity to improve. Actually, those, “Love your talk!” comments feel good, but don’t offer the perspective negative ones do. “The road to perfection never ends.” In Toastmasters, many consider the most important part of a meeting to be the evaluations of the speakers. If an evaluator fails to give any suggestions for improvement it is called a “white wash.’” This offers no help to the speaker who knows they can always do better and are looking for suggestions. Know the “Iceberg Effect” is always there. Just like the largest part of an iceberg is below the surface and can’t be seen, the majority of your audience never comments on whether they enjoyed or didn’t like your presentation. If you’ve done the work and individuals thank you for your talk, I guarantee there are many more who leave the venue saying nothing. By the same token, if several diss your presentation, others did not like it and, perhaps they were being polite, and didn’t say anything. IF you’ve haven’t done those two things: Own It! Then promise yourself before your next presentation you will: Know your topic well. Review the negative comments and adjust your presentation where appropriate.   • Stand Out From Others By – SPEAKING!

    Because Many Won’t! Picture this: You’re at a meeting, seminar, or event and the leader asks, “Does anyone have something to say?” Yes, you do have something important to communicate. You practiced in your mind’s eye, out loud, and maybe even recorded yourself. You start to raise your hand, but . . . You don’t. That has happened to me, more than once, and I’ll bet you’ve had similar experiences. More often than not, it’s the “Fear of Public Speaking!” that’s held you back from delivering your message. That’s a problem for many. However, the fear of speaking be overcome by: Knowing your topic well. Having that knowledge will give you “Confidence in your Competence” and dramatically help your delivery. Knowing the structure of a great talk. Just like the recipe for a delicious dessert: specific things are done at specific times. Practice – Practice – Practice Practicing is not optional! Here’s My Personal Story My wife and I recently completed a group tour of Ireland. Our tour director was incredible. I decided when the time was correct, I wanted to recognize his many skills in front of everyone. There was a dinner the last night of the tour. After the director made a few remarks and said, “The servers will go around the tables and get your orders, “I knew the time was NOW! As I “dinged” the guests to attention with a spoon striking a glass, I rose to my feet and proclaimed, “Before we get started, I want to propose a toast to our tour director, Sean Collins!” The audience immediately applauded. I continued, “Sean, this is the fifth tour my wife, Beverly, and I have been on with your company. We’ve also traveled with several other firms. Without a doubt, YOU, are the best tour director we have ever had. Your knowledge, presentation of that knowledge, personal generosity, great sense of humor, and captivating singing made a good tour – SPECTACULAR!” The ensuing applause from my fellow travelers and ear-to-ear smile on Sean’s face affirmed I had hit a home run with my toast.   • Five Slide Presentation Mistakes

    DON’T Make Them! 1. Lots of Text and Bullet Points No one comes to read your presentation. If they are reading it, they are usually ahead of the bullet point you are discussing. There is a dis-connect and they won’t get the point of your message. 2. Templates with noisy backgrounds, logos, and multiple lines of contact information. Distracting backgrounds and unnecessary information are CLUTTER. They divert your audience’s attention from you and your presentation. (I use solid white or black backgrounds for my slides.) We cannot multi-task. If people are looking at your slides and reading text they are not focused on you, the speaker. (Think about the tickertape that runs along the bottom of cable TV stories. If you’re reading it you have no idea what the story is about. As proof, when a commercial comes on, the tickertape disappears! Advertisers would never pay if those distractions played during their paid message.) If you’re good, they will figure out how to contact you. If not, all the branding in the world won’t help your cause 3. Images that are confusing or might be interpreted differently by those in attendance. The graphics you use are not a Rorschach (Ink blot) test for your audience. They should all have the same interpretation of the visuals on your slides. Use high quality, universally understood images with good resolution. If folks are trying to figure out what they are looking at, you’ve missed the mark on communicating well. 4. Looking at the screen while talking to your audience. The powerpoint presentation is a tool, not the presentation. You should not be turning your back to the audience and looking at it. Use Presenter’s View where the slide the audience sees, the upcoming slide, and notes are all visible to you. Show a slide with an image, make it go dark, and speak about that topic to your attendees. 5. Asking someone to advance your slides. Saying, “Next slide,” to an assistant is distracting to the audience and not professional. When presenting, you are responsible for as much as possible. Having your own remote that controls slide advance and reverse, sound level, and a button that darkens the screen is not optional. Don’t make these mistakes when using slides and I guarantee your next presentation will be absolutely, positively – NO SWEAT! About the Author Fred E.   • FAQ for Handling Questions!

    Questions & Answers: LOTS of Opportunities for MISTAKES 1. WHEN In your Opening, tell your audience when and how you’ll be handling questions. Two Possibilities: 1.  Take a few questions after each section, but only on that section, and before closing. 2.  At the end of your presentation before the Closing. Important! “The last thing you say and do will be the first thing your audience remembers.” That’s why you should close after Q&A. The Closing is the closing! 2. HOW • When answering, look at the person who asked the question – finish a thought. Then look at someone else in the audience – finish a thought. Repeat and Repeat until your answer is completed. • Use clear and concise language. Simple words rule! 3. DON’T . . . • Take questions on material you’ve not yet presented. It will throw off your entire presentation. • Fake an answer. Say, “I’m drawing a blank on that right now. If I can’t recall before the end of my talk, see me afterwards and we’ll figure it out. • Ask, “Do you have any Questions?” That requires a ‘Yes’ or ‘No’ response. Instead, while raising your hand, ask, “What questions do you have for me?” • Look only at the person asking the question. This invites a followup question and you could get involved in a conversation vs. answering audience questions. 3. DO . . . • Repeat or paraphrase a question. This insures the audience, and you, know what is being asked. • Prime the questioning by . . . Saying, “I’m going to ask the first question.   • So They GET Your Elevator Speech, . . .

    Make it Clear, Concise, and Consistent If people hearing your Elevator Speech aren’t 100% sure about what you do. They won’t hire you. They won’t refer you. So they know WHO you are and WHAT you do, your Elevator Speech should be: Clear Use simple language and words. We don’t impress people with verbiage they don’t know. – We make them feel stupid! Someone who feels unintelligent will never hire or refer you. My Example: “I’m a speaker, coach, and an author.” Those simple words should have you asking: WHAT do you Speak, Coach, and Write about? Concise Less is MORE! Think TikTok and Twitter. Build your Elevator Speech in increments of fifteen seconds or less that are easily understood. My Example: “I’m Fred Miller. I speak, coach, and write about networking, public speaking, and presentation skills.” (Fifteen words said in in less than ten seconds.) Consistent Whenever and wherever presented, my Elevator Speech should be significantly the same. If you hear me give it at one venue and it’s way different from one you heard before, there is a disconnect. That leads to confusion about what I do.
